Important Features to Look for in Jewellery ERP Software

What should jewellery ERP software actually include? A feature-by-feature guide for gold and silver retailers — from rates and billing to stock, old gold, certificates and reports — plus the questions to ask vendors.

What "Jewellery ERP" Really Means

ERP stands for enterprise resource planning — software that connects the different parts of a business so information is entered once and used everywhere. For a jewellery retailer, that means billing, stock, rates, old gold, customers and reports working from the same records.

Large chains may need manufacturing, multi-branch transfers and karigar management. Most independent shops and single showrooms do not. The right question is not "is it a full ERP?" but "does it connect the parts of my business that cause me trouble today?"

Below are the features worth checking, grouped by how often you will use them.

Daily Essentials

Daily rate management

Gold rates change every day. The software should let you enter sell and buy rates per purity once in the morning and use them automatically on every bill and purchase, with a history of past rates.

Jewellery billing with GST

Look for automatic net weight, value and making charge calculation, discounts and round-off, multiple payment methods on one bill, and 3% jewellery GST split into CGST and SGST with HSN codes on each line. Our jewellery GST guide explains the rules the invoice should follow.

Customer records

Search by mobile number, see past bills, and capture KYC details such as Aadhaar and GSTIN where needed.

Stock and Purchasing

Inventory by piece and weight

Each product should have a tag number, category, metal, purity, pieces and weight. Billing should reduce stock automatically, and every stock movement should be recorded with a reason. See our guide on managing jewellery inventory efficiently.

Old gold purchases

Old gold exchange should create a numbered voucher with seller details and the buy rate, not a note in a diary.

Trust and Documentation

Purity certificates

Printed certificates that record purity and metal composition help customers trust what they buy, and protect you if a piece is questioned later.

Gold testing reports

If you test gold for customers, computerised testing reports with token numbers keep that service organised alongside billing.

Management and Reporting

Sales, purchase and GST reports

You should be able to see totals for sales, purchases, GST collected and payments for any date range, and export them for your accountant.

Walk-in leads and follow-up

Customers who look but do not buy are future sales. Recording their interest and following up turns a visit into a sale.

Customer messaging

Sharing invoices on WhatsApp and sending festival or rate messages keeps customers coming back.

Features That May or May Not Matter to You

Some features are essential for one shop and irrelevant to another. Decide in advance whether you need:

  • Barcode or RFID tagging — useful for large stock volumes; many smaller shops manage well with searchable tag numbers.
  • Multi-branch stock transfers — only relevant if you run more than one showroom.
  • Manufacturing and karigar tracking — for shops that make jewellery in-house.
  • Full accounting ledgers — some shops prefer to keep accounting in a separate package and export reports to it.

Do not pay for modules you will not use, and do not accept "coming soon" for a feature you need on day one.

Questions to Ask Every Vendor

  1. Can you bill one of my real items, using today's rate, in the demo?
  2. Which of the features above are included today, and which cost extra?
  3. Who sets up the system and trains my staff?
  4. Who supports us on a festival day, and how do we reach them?
  5. Can I export my data if I ever leave?

How Jexo Fits

Jexo covers the daily essentials, stock, old gold vouchers, purity certificates, gold testing reports, sales and GST reports, walk-in leads and WhatsApp messaging in one system. It does not currently include barcode tagging, multi-branch transfers or manufacturing modules. If those are must-haves for you, tell us during the demo — and see the full feature list for details.
