How to Choose the Best Jewellery Billing Software in Chennai

A practical checklist for Chennai gold and silver shop owners comparing jewellery billing software: what to test in a demo, which local needs matter, and the questions to ask before you pay.

Why the Choice Matters More for a Gold Shop

A clothing shop can switch billing software over a weekend. A jewellery shop cannot. Your billing system holds today's gold rate, every customer's purchase history, old gold you bought, and the GST you owe. Choosing badly means months of workarounds at the counter — or a painful migration later.

Chennai has a dense jewellery market, from large showrooms in T. Nagar to family-run shops in Mylapore, Purasawalkam and the suburbs. Many vendors will offer you software. This guide helps you separate the ones built for gold from the ones that simply added a "weight" column to a generic POS.

Step 1: Write Down How Your Counter Works Today

Before you watch a single demo, spend one day noting what actually happens at your counter:

  • How many bills do you make on a normal day, and on Akshaya Tritiya or Deepavali?
  • Do you sell silver as well as gold?
  • How often do customers bring old gold for exchange?
  • Who updates the gold rate each morning, and how is it shared with staff?
  • What does your accountant ask you for at month-end?

This list becomes your test script. Any software you consider should handle each of these without a workaround.

Step 2: Test the Gold Calculation, Not the Dashboard

Demos often open with colourful charts. Ignore them at first. Ask the vendor to bill one of your real items in front of you:

  1. Pick a 22K item with a known gross weight.
  2. Check that the rate fills in automatically from the day's rate for that purity.
  3. Check how net weight is worked out and whether staff can see the calculation.
  4. Add a making charge and a discount, then confirm GST is calculated on the amount after discount.
  5. Compare the final total with your calculator.

If the numbers do not match the way your shop already calculates bills, ask whether the software can be configured — or whether your staff will have to change how they work. Our gold billing page shows a worked example of how Jexo calculates a line.

Step 3: Check GST for Tamil Nadu Sales

For sales within Tamil Nadu, jewellery GST of 3% is split into 1.5% CGST and 1.5% SGST. The invoice should show the HSN code on each line, capture the customer's GSTIN for business buyers, and give you a GST report you can hand to your accountant. Read our jewellery GST billing guide for the full rules.

Step 4: Look at Stock, Not Just Bills

Billing without stock control means you still count trays by hand. Ask:

  • Can each item have a tag number, purity, piece count and weight?
  • Does stock reduce automatically when an item is billed?
  • Is there a history of every stock in and stock out?
  • Can you see total gold and silver weight in stock?

See how jewellery inventory management works in Jexo for an example of what to expect.

Step 5: Ask About Old Gold and Documentation

Old gold exchange is routine in Chennai. Your software should create a numbered purchase voucher with seller details, rather than leaving it to a notebook. If you also test gold or issue certificates, check that purity certificates and testing reports are part of the same system.

Step 6: Judge the Support, Not the Brochure

The best software is the one that is still working on a festival morning. Ask every vendor:

  • Who will set up the system and train my staff?
  • If billing stops on a busy day, who do I call — and are they in Chennai?
  • Is the person supporting me part of the team that builds the product?
  • Can I speak to the vendor's team before I commit?

A locally based team that wrote the software can usually fix problems faster than a reseller passing tickets to another city.

Step 7: Understand the Real Cost

Ask for pricing in writing: the licence, setup and training, any per-counter charges, and the yearly cost after the first year. Cheap software that needs constant workarounds is expensive in staff time.

A Short Checklist to Take to Every Demo

  • Bills one of my real items correctly, with today's rate filled in automatically
  • 1.5% CGST + 1.5% SGST on every invoice, HSN code on each line
  • Gold and silver stock by tag, purity, pieces and weight
  • Old gold purchase vouchers with seller details
  • Customer lookup by mobile number
  • Reports my accountant can use
  • Setup, training and support from a reachable team
