How to Manage Jewellery Inventory Efficiently

Jewellery stock must be tracked by piece and by weight. A practical guide to tagging, recording movements, setting low-stock levels and reconciling gold and silver stock without counting every tray daily.

Why Jewellery Stock Is Harder Than Other Retail Stock

A grocery shop counts boxes. A jewellery shop has to count pieces and grams, across different metals and purities, for items that are often one of a kind. A chain that looks identical to another may weigh 0.3 g more. That is why jewellery inventory cannot be managed with a simple item count.

Good inventory management answers four questions at any moment:

  • What do we have, by piece and by weight?
  • What came in and went out, and why?
  • What is running low?
  • Does the physical stock match the records?

1. Give Every Product an Identity

Start by recording each product with consistent details:

  • Tag number or SKU — a unique code staff can search.
  • Category — ring, chain, necklace, haram, bangle, earrings, pendant and so on.
  • Metal and purity — for example 22K gold or 925 silver.
  • Pieces and weight — the opening quantity and weight in grams.
  • Making charge per gram — so it does not have to be looked up at billing.
  • HSN code — so it appears on the invoice automatically.

Consistency matters more than detail. If one staff member writes "Neck" and another "Necklace", your category reports will be wrong.

2. Record Every Movement, With a Reason

Stock changes for many reasons: new purchases, items sent for repair, pieces returned to a supplier, sales. Every change should be recorded as a stock in or stock out with a short note. When a figure looks wrong later, the history tells you why.

The single most useful rule: stock should change only through a recorded movement or a bill. Never edit a quantity directly without a note.

3. Let Billing Reduce Stock Automatically

The most common source of stock errors is double entry — billing a piece and then forgetting to update the stock register. Inventory software that is linked to billing removes that step: when a stock item is billed, its stock reduces as soon as the bill is saved.

4. Set Low-Stock Levels for Fast Movers

You do not need alerts for one-off bridal pieces, but you do for items that sell steadily — plain bangles, light chains, studs, silver anklets. Set a minimum number of pieces for those products so they are flagged before the tray is empty, especially in the weeks before a festival.

5. Watch Totals by Metal

Review total gold weight and total silver weight in stock each week. A sudden change you cannot explain is the earliest sign of a recording mistake — or a missing piece.

6. Reconcile on a Schedule

Software does not replace a physical count, but it makes the count faster and more useful:

  1. Pick one category each week instead of counting everything at once.
  2. Filter the stock list to that category and print or display it.
  3. Count pieces and weigh the tray.
  4. Investigate any difference using the stock history before adjusting.

Rotating through categories means every tray is checked regularly without closing the shop for a full stock-take.

7. Use Filters to Plan Purchases

A stock list you can filter by metal, category and status (in stock, low, out of stock) turns inventory into a purchasing tool. Before visiting a supplier, check which categories are low and which have not moved.

Common Mistakes to Avoid

  • Recording weight but not pieces, or the other way round
  • Allowing direct edits to quantities without a note
  • Keeping silver in a separate notebook from gold
  • Counting stock only once a year

Putting It Into Practice

Jexo's stock module records each gold and silver product with its tag number, purity, pieces and weight, keeps a full stock in/out history, flags low stock and reduces stock automatically when you bill.
